Position Summary and Responsibilities
The Administrative Assistant will provide administrative and operational support to the Office of Admission, particularly as related to welcoming guests and fielding inquiries from prospective students and their families. There will also be some application processing data entry. This is an on-campus position.

Responsibilities:
  • Lead person welcoming guests to the admission office. Greet all visitors and groups which includes prospective students and families, school counselors, Vassar alumni, and other campus guests.
  • Keep the reception area and lobby organized and presentable.
  • Quickly address facility concerns to minimize the impact on visitor experience and submit any needed building maintenance requests.
  • Book room reservations for on-campus information sessions and related admission events.
  • Provide frontline telephone and email support and respond to inquiries.
  • Data entry into Admission Office and college databases.
  • Prepare letters, reports (such as tracking visitor feedback, visitor attendance patterns, etc.), and other documents using Microsoft Office and Google Suite tools.
  • Maintain supplies and office equipment.
  • Coordinate tasks for student employees.
  • Other duties as assigned by the supervisor, Director, and Dean.


Qualifications
  • Two to four years of administrative support and customer service experience and/or training.
  • Strong written and verbal communication skills.
  • Experience and comfort with professionally fielding a high volume of emails, calls, and Windows tasks.
  • Quick learner who is able to independently manage multiple tasks on time and with accuracy.
  • Knowledge of and facility with Google Suite and Microsoft Office programs, including mail merge, creating labels, and posters in Word, and creating and managing spreadsheets in Excel.
  • Familiarity and comfort with technology and database systems. Must have strong data entry skills and attention to detail.
  • A friendly and outgoing personality is essential, as is the ability to interact positively and effectively with diverse communities, including all members of the College, alumni, high school administrators, applicants, and parents.
  • Must have demonstrated abilities to handle confidential information in a discreet manner, to be proactive, to manage multiple priorities, and to maintain a professional demeanor under pressure.

  • Team player with empathy, respect for others, a collaborative approach, and a sense of humor.
  • Overtime work on one to two Saturday mornings in the fall and in the spring when the office is open is expected.
