Job Description Summary
Responsible for the coordination of course registration of credit and non-credit programs. Supports unit's primary functions of processing registration and maintaining academic records and providing timely, professional customer service to internal and external customers.
Minimum Qualifications
EDUCATION AND EXPERIENCE
- One to two years of college credit (30 credit hours is equivalent to one year) or equivalent formal training in related field
- At least four years of related higher education experience or required course work/certification and or specialized skills/training.
- Bachelor's degree preferred
KNOWLEDGE, SKILLS AND ABILITIES
- Ability to work well under strict deadlines and tight time constraints
- Strong proofreading skills and detail orientation; high comfort level with computer and word processing programs, especially Word and Excel; good research skills
- Strong organizational skills
- Ability to communicate well orally and in writing
- Strong customer service skills
- Ability to project a professional image and demeanor at all times
- High level of flexibility
- Ability to interact with students and faculty
Criteria
CRITERIA: The following criteria, which are not the sole criteria used in the final hiring decision, will be used to review the applications of those persons who meet the stated minimum qualifications and to select those qualified applicants who will be interviewed. ESSENTIAL DUTIES:
- Oversees all aspects of credit registration in Colleague
- Troubleshoots registration issues
- Trains students, faculty, and staff on the College's registration systems and policies
- Collaborate with the Office of Student Academic Planning and Career Readiness on EAB Navigate registration functionality
- Creates registration training materials
- Improves registration processes in an automation framework
- Serves as the Records and Registration liaison for continuing education and SAGE registrations
- Coordinates peak registration and registration orientation activities
- Partners with the offices of Recruitment and Admissions and Student Academic Planning and Career Readiness to ensure smooth registration for new students
- Manages the waitlist process
- Develops cross-registration program with the Consortium of Universities of the Washington Metropolitan Area
- Assist with the registration of special populations, including visiting non-degree students
- Processes registration exceptions (late withdrawals, prerequisite waivers, etc.) and collaborates with Registrar, Associate Registrar, Deans, Associate Deans, Advisors, and other stakeholders to develop consistent guidelines for registration exceptions
- Provides regular, daily front desk support for the Office of Records and Registration, to include course registration, on-demand transcripts, ID card processing, and answering general questions for PGCC students
- Performs other duties as assigned.

PHYSICAL REQUIREMENTS
Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact as normally defined by the ability to see, read, talk, hear, handle or feel objects and controls. Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to, a personal computer, calculator, copier, and fax machine. No significant climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, and repetitive motions
OTHER REQUIREMENTS
- Must be able to work Monday thru Friday, 10:00 a.m. – 6:00 p.m.
- Ability to communicate effectively in spoken and written standard English.
- As required by the 1986 Immigration Act, be prepared to present acceptable documentation showing your identity and that you are a U.S. citizen or an alien who is authorized to work.
- A background investigation will be conducted prior to the offer of employment. A signed authorization for the release of personal information will be required if selected for an interview.
